At A New Hope Psychiatric Services, we are committed to transparency, privacy, and compliance with all applicable HIPAA regulations and state laws. In the interest of improving accuracy, quality of care, and administrative efficiency, we utilize transcription tools during both clinical sessions and phone communications.

Clinical Sessions (Telehealth):

  • We use a HIPAA-compliant tool called Heidi AI to transcribe notes during some virtual sessions.
  • Heidi captures the provider’s clinical notes through live AI-generated transcription; no voice audio is recorded or stored.
  • This transcription is used solely for documentation purposes and to support accurate charting.
  • Clients are informed of this transcription process and provide consent as part of their intake paperwork.

Phone Calls (Administrative Use Only):

  • We use Dialpad, a business phone system with an AI-powered transcription feature that may automatically generate transcripts of phone conversations.
  • These transcriptions are used internally for training, accuracy, and record-keeping of administrative communications.
  • Again, no audio recordings are saved, and no content from clinical sessions is recorded through Dialpad.

Your Rights & Privacy:

  • All tools used comply with HIPAA standards.
  • Clients may request additional information or opt out of non-essential transcription features at any time by contacting our administrative team.
